What started as a small gathering has transformed into something truly special. The n8n Vienna meetup on June 11th, 2025, was a testament to the growing automation community in Vienna and the power of bringing like-minded people together.

The Numbers Tell a Story

The growth has been nothing short of remarkable. From our humble beginnings with just 3 people at the first meetup, we’ve now reached 130 registrations for this event. The actual turnout was equally impressive: For Vienna’s tech scene, these numbers are exceptional.

The Perfect Venue

Das Packhaus proved to be an ideal choice for the event. The venue not only provided the perfect atmosphere but also came equipped with recording capabilities. We managed to capture all the presentations on video, though it will take a few days to get the audio properly synced before publishing.

The venue’s partnership approach was fantastic - they even placed a sign on the street advertising the n8n event, which led to a delightful surprise: someone who uses n8n in their daily work but wasn’t aware of the meetup saw the sign and decided to join us! 🎉

Three Excellent Presentations

The evening featured three diverse talks that showcased different aspects of automation and AI integration:

3. What the Hell is MCP?

I tackled the increasingly important topic of Model Context Protocol (MCP) and its implications for AI integration in automation workflows, helping demystify this emerging technology for the community.

Food, Drinks, and Community

No successful meetup happens without proper refreshments. We managed to provide for everyone with 240 sandwiches that were completely consumed by the end of the evening. The food and drinks created natural networking opportunities and kept energy levels high throughout the presentations.

Lessons Learned for Future Events

Every successful event provides learning opportunities, and this meetup was no exception:

Technical Preparations

  • Have backup devices ready: My assistant’s Android phone kept crashing after the first check-in, highlighting the need for backup phones with different operating systems
  • Dedicated check-in support: Having someone handle arrivals while I was presenting was invaluable, especially since 90% arrived on time but late arrivals needed assistance
  • Equipment prep: Search for that essential HDMI cable well in advance!

Privacy Considerations

Operating in Austria means being mindful of strict privacy regulations. We had attendees request not to be photographed, which caught us unprepared. For future events, we’re considering:

  • “No Photo” badges for those who prefer privacy
  • Upfront opt-in/opt-out mechanisms during registration
  • Clear communication about recording and photography policies

Operational Enhancements

  • Venue catering: Das Packhaus can handle catering directly, eliminating the need to coordinate sandwich pickup
  • Better planning: All technical setup should be tested well in advance

Content Development

  • Enterprise focus: Address n8n’s business and enterprise editions with potentially a live stream featuring someone from the n8n team
  • Data privacy and AI: This emerged as a hot topic, and we already have a volunteer speaker ready to present about running n8n with Ollama for next time

The Growing Vienna Automation Community

What struck me most about this event was the diversity of attendees and their genuine enthusiasm for automation. From complete beginners curious about workflow automation to experienced developers looking to optimize their processes, the community represents a broad spectrum of the tech ecosystem.

The fact that someone discovered our meetup simply by walking past the venue sign perfectly encapsulates the organic growth and genuine interest in automation tools like n8n within Vienna’s tech community.

What’s Next?

All presentations were recorded and will be available on our YouTube channel once post-production is complete. This will allow those who couldn’t attend to catch up and help spread knowledge within the broader automation community.

The momentum from this event is driving us to plan the next meetup with even better preparation, more diverse content, and continued focus on building Vienna’s automation community.
